Description

We are recruiting for a Project Coordinator to join our Facilities Management Team in Louisville, KY.  

This position requires residency in the Louisville, KY area.

Summary:

Facilitates and coordinates people and tasks to support project management activities for Hospital Facilties Management initiatives and project directors, ensuring that approved projects are implemented on schedule, with a high degree of quality, within budget, according to specifications, and to the customer's satisfaction.

Essential Functions:

  • Facilitates gathering of critical information from project team, creates and distributes correspondence relevant to the team, project or program to various stakeholders.
  • Maintains project plans or schedules and informs teams of upcoming deadlines and deliverables.
  • Coordinates administrative contract process by editing contracts as directed and facilitating flow of contracts from initiation to approval.
  • Actively monitors the status of all project activities and identifies .
  • Authors and publishes weekly progress reports summarizing entire project team activities.
  • Manages project related paperwork by ensuring all necessary materials are current, properly filed and adhere to compliance standards.
  • Schedules project team meetings and creates administrative materials necessary to support meetings.  Assists with running team meetings and keeping schedule on track.
  • Coordinates multi-site visits for project team members and works with Administrative Assistant to book travel and accomodations.
  • Helps to design and implement a digital project process including overall standardization and transition from paper to electronic files, folder, forms and processes.

Knowledge/Skills/Abilities:

  • Excellent verbal and written communication skills; ability to interact effectively with others at all levels.
  • Excellent organizational skills; exceptional attention to detail.
  • Ability to work effectively on multiple tasks and projects with little or no supervision.
  • Excellent interpersonal skills and ability to work effectively with others to achieve results.
  • Knowledge of applications and tools that support project management tracking and reporting.
  • Knowledgeable of the project life cycle and key components of project work.

Qualifications

Education:

  • Bachelor's degree in related field preferred.

Experience:

  • 3+ years experience supporting general business projects in a corporate environment.  Preferred experience in healthcare operations or facilities management.
  • Formal Project Management training preferred.
